Prompt 1 — Single receipt, full extraction

Use this when you have one receipt and want Claude to extract everything neatly and flag whether it's deductible.

4-Step Guide to Adapting These Prompts

The prompts above work out of the box, but your situation will have specifics that make them even more accurate. Here's how to tune them.

Replace the category list with your own

The default categories in these prompts are generic. Replace them with the exact categories your accounting software uses — QuickBooks, FreeAgent, Wave, or whatever you're on. Claude will stick to the list you give it. If you use codes (e.g. 6200 – Travel), include the codes. Your accountant will thank you.

Specify your country's deductibility rules

Deductibility varies by location. A US freelancer has different rules from a UK sole trader. Add a line to your prompt: I'm a sole trader in the UK — apply HMRC expense rules when flagging deductible items. Claude isn't a tax advisor, but being specific gets you more relevant flags. Always confirm edge cases with your accountant.

Add a client or project column if you bill back expenses

If some expenses are billable to clients, add a column to the prompt: Also include a "Client / Project" column. Mark billable expenses with the client name; leave it blank for non-billable. Then list which expenses are associated with which client when you paste them in. This makes invoice reconciliation much faster.

Build a running log by pasting output into one spreadsheet

Claude doesn't store anything between sessions. Your running expense log lives in a spreadsheet. Each time you process a batch, paste Claude's output table into the next empty row of your sheet. By month 3, you'll have a full-year record building itself one batch at a time — no app subscription needed.

Important: Claude is not a tax advisor. Use its deductibility flags as a starting point, not a final answer. Anything flagged "Check with accountant" should go to your accountant before you file.

How accurate is Claude at reading handwritten receipts?
Claude handles printed receipts well. Handwritten receipts are hit-or-miss depending on legibility. For handwritten receipts, it's faster to type the key details — vendor, date, and amount — and let Claude handle the categorization.
What expense categories should I use?
