Most professionals using Claude at work follow the same pattern: find the document you need, download it, upload it to Claude, ask your question. It works — but it creates friction at every step, and that friction adds up across hundreds of conversations.
There is a better approach. The Microsoft 365 connector for Claude gives you direct, on-demand access to your SharePoint files, Outlook emails and Teams conversations without downloading or uploading anything. Claude reads what it needs, when it needs it, from the source.
Key insight: Every time you upload a file to Claude, that file is re-processed on every single message in the conversation. The bigger the file, the more it costs you in usage. Connecting directly to Microsoft 365 cuts that cost significantly.
The upload loop
Find file, download, upload, ask question. Repeat for every new conversation. Every single time.
Version drift
The file you uploaded yesterday may not be the current version. You are working from stale data without knowing it.
Usage drain
Large uploaded files sit in your conversation and consume usage on every message, even when they are no longer relevant.
The Microsoft 365 connector is a one-time setup that gives Claude permission to access specific parts of your Microsoft 365 environment on demand. Claude does not store your files — it reads them in the moment it needs them, then moves on.
Key insight: The connector is not a sync tool. Claude does not copy or cache your files. It reads them on demand, so you always get the current version — and nothing sits in Claude's memory after the conversation ends.
SharePoint
Access documents, reports and project files stored in SharePoint sites and libraries directly from Claude.
Outlook
Pull email threads, attachments and calendar context into your Claude conversations without switching apps.
Teams
Reference Teams channel messages, meeting summaries and shared files to give Claude the right context instantly.
Without connector
Find file in SharePoint
Download to desktop
Upload to Claude
File re-processed every message
May be an outdated version
With connector
Ask Claude directly
Claude reads the live file
Always current version
No usage drain from uploads
Nothing stored after conversation
Setting up the Microsoft 365 connector takes under five minutes and only needs to be done once. Here is exactly how to do it, and how to use it effectively once it is live.
Key insight: Connect only the folders and libraries Claude actually needs — not your entire Microsoft 365 environment. Targeted access gives better results and keeps your data exposure to a minimum.
1
Open Settings and go to Connectors
In Claude, click your profile icon, go to Settings, then select Connectors. You will see available integrations including Microsoft 365.
2
Authorise your Microsoft 365 account
Click Connect on the Microsoft 365 connector. You will be redirected to sign in with your work Microsoft account and grant Claude read-only access.
3
Select only what Claude needs
Choose specific SharePoint sites, Outlook folders or Teams channels rather than granting access to everything. Less is more — targeted access means sharper, faster responses.
4
Use it in conversation
Once connected, simply tell Claude what to look at: "Check the Q2 report in the Finance SharePoint and summarise the key risks." Claude finds it, reads it and responds.
Note: The Microsoft 365 connector requires a Claude Pro or Team plan. Your organisation may also need to enable third-party connectors in your workspace settings. Check with your IT team if the connector option does not appear.
